Configuring User Permissions

Overview:

 This guide explains how user permissions are managed in Lynx and where to review or update them. User permissions help determine what a user can access and how they can interact with records, workflow items, and related system features.​

 Permissions are managed by Organization Administrators in Settings → Organization. Depending on your organization’s setup, a user’s access may also be influenced by role assignments, category permissions, subscription type, or other system-level configuration.​

 This guide focuses on how to open user permission settings, understand user-level permission options, and review related category-based access.

  • Configuring user permissions helps make sure each person in Lynx has access that matches their actual job responsibilities. When permissions are set correctly, users can do the work they need to do without being given unnecessary access.​

     Good permission setup also helps protect sensitive information, reduce mistakes, and keep records more organized. It supports better accountability by making it clearer who can view, edit, review, or manage different parts of the system.​

     Because permissions may involve role assignments, category-based access, and module access, reviewing them carefully helps organizations keep control of their data while still allowing teams to work efficiently.

  • Administrator:

    Broad access to manage records and settings within a module. ​

    • Can add, edit, and delete all event data​

    • Can manage event-related settings​

    Editor:

    More limited than administrative authority.​

    • Can add and edit all event data​

    • Can manage most event-related settings​

    Contributor:

    Can work only with records they are involved in or assigned to.​

    • Can view and edit only events where they are involved​

    • A user is considered involved when they are:​

    • Tagged in the event description, or​

    • Tagged in event comments, or​

    • Assigned to an event or action​

    Viewer:

    Most restrictive.​

    • Can view event data​

    • Cannot create or edit events​

    User Permissions:
    The access settings assigned to a user that determine what they can view, edit, manage, or review within Lynx.​

    Organization Administrator:
    A system-level administrative role with broader authority to manage users, permissions, and other organization-wide settings in Lynx.​

    User Record:
    The individual user profile in Lynx where account details, role assignments, and permission settings are reviewed or updated.​

    Module Access:
    A permission setting that determines whether a user can access a specific module in Lynx at all.​

    Role Assignment:
    The selected role within a module that determines the user’s level of access, such as Administrator, Editor, Contributor, or Viewer.​

    Confidential Access:
    A permission setting that determines whether a user can view or work with records marked as confidential.​

    Confidential Attachment Access:
    A permission setting that determines whether a user can view or work with confidential attachments, where enabled.​

    Email Integration Review Access:
    A permission setting that determines whether a user can review pending email integration events, where this feature is enabled.​

    Event Category Permissions:
    Category-based access settings that help determine which records a user can view or work with inside a module.​

    Category-Based Access:
    A form of access control where a user’s permissions are limited to selected categories, event types, or record groups.​

    Module:
    A major functional area within Lynx, such as Events, Incidents, Investments, Commitments, Inspections, Training, or Monitoring.

  • To access a user’s permission settings in Lynx:​

    1.  Open the Settings menu from the left-hand navigation panel. ​

    2.  Select Organization from the Settings page. ​

    3.  Locate the Users section within Organization Settings. ​

    4.  Find the user you want to review or update. ​

    5.  Select the pencil icon next to that user to open their user record. ​

    6.  Scroll to the permissions area within the user record to review or update access settings. ​

     Depending on your organization’s setup, the user record may include role assignments, module access, confidential access options, category-based permissions, and other related settings.

  • Within the user record, Lynx allows Organization Administrators to review and manage user-specific permission settings.​

    These settings help determine:​

    • what modules a user can access ​

    • what level of role-based access they have within a module ​

    whether they can view or manage confidential information ​

    • whether they can review certain system-generated items, such as email integration events ​

    • whether they can access specific categories, event types, or module-specific records ​

    Depending on your organization’s setup, the permissions area may include settings for modules such as:​

    • Events ​

    • Incidents ​

    • Investments ​

    • Commitments ​

    • Inspections ​

    • Training ​

    • Monitoring ​

    • other configured modules used by your organization ​

     For each user, review the available settings carefully and confirm that access matches their job responsibilities.​

    Common permission settings may include:​

    • Module Access:
      Determines whether the user can access a specific module at all. ​

    • Role Assignment:
      Determines the user’s level of access within that module, such as Administrator, Editor, Contributor, or Viewer, depending on the module and license type. ​

    • Confidential Access:
      Determines whether the user can view or work with records marked as confidential. ​

    • Confidential Attachment Access:
      Determines whether the user can view or manage confidential attachments, where enabled. ​

    • Email Integration Review Access:
      Determines whether the user can review pending email integration events, where this feature is enabled. ​

    • Category-Based Access:
      Determines whether the user can access records within selected categories or event types. ​

     When reviewing permissions, assign only the level of access the user needs to perform their role. This helps protect sensitive information, reduce errors, and maintain better control over system activity.​

     After making any updates, save the user record to apply the changes.

  • In addition to role assignments, access in Lynx may also be limited by category. Category-based access helps determine which records a user can view or work with inside a module.​

     This means a user's assigned role does not always apply across every category. A user may have access to one category but not another, depending on how their permissions are configured.​

    When category-based permissions are used:​

    • users can only access the categories assigned to them ​

    • records outside those categories may not be visible to them ​

    • role permissions and category permissions work together
