Contact and Contact Group Management
Overview
Contacts and contact groups can be managed within the system and associated with events for tracking and reporting purposes.
Managing Contacts and Contact Groups
Contacts and contact groups can be added, edited, and deleted from the Contacts section of the application.
The grid view can be toggled between Contacts and Contact Groups.
Contacts can optionally be associated with a contact group.
Archiving Contacts and Contact Groups
Contacts and contact groups can be archived from their respective detail forms.
Archiving preserves historical data and associations.
Archived contacts and contact groups:
Remain available for reporting and historical reference
Do not appear in dropdown lists or selection controls going forward
Duplicating and Archiving Contact Groups
Contact groups can be duplicated and archived from the contact group form.
This is typically used when:
A contact group name changes, and
You want to preserve historical reporting under the original group name while continuing with a new version of the group.
Duplicating and archiving ensures existing records remain linked to the original contact group for reporting purposes.
Merging Contacts
Contacts can be merged from the Contact Details page.
Merging should be used when duplicate contacts exist in the system.
After merging, historical associations are preserved under a single contact record.
Associating Contacts and Contact Groups to Events
Contacts and contact groups can be associated with events from the Event Details page.
This allows contacts and groups to be tracked in relation to specific events.
Internal Team Members
Contacts can be flagged as Internal Team Members on the contact form.
Internal contacts appear under the Stakeholders section on the event form.
Internal contacts are excluded from external contact selection lists.
Important Notes
Access and permissions
Only Organization Administrators and Event Administrators can delete contacts and contact groups.
Only Organization Administrators, Event Administrators and Event Editors can add or edit contacts and contact groups.
Configuration
Contact Group Types are managed in Settings → Contacts.
